Volunteers Positions and Descriptions

Timers (no experience needed)

  • Timers use their phones and the Swimmingly app as stopwatches to time the races and send these times to the scorekeeper. The clock is started automatically by the Starter and Timers are only responsible for stopping the clock when the swimmer in their lane touches the wall and enters their Swimmer ID (or IDs of all swimmers for relays) number (on the swimmer's arm). There is a short meeting before each meet that Timers are expected to attend to log on to the meet via Swimmingly. They will need up-to-date phone operating systems, the latest version of the Swimmingly app, and a fully charged phone to perform this role. 

Starter (experience recommended)

  • The Starter will be responsible for running the meet. They will start each race and make any announcements that need to be made throughout the meet. Familiarity with Swimmingly is strongly recommended.

Stroke and Turn Judge (training required)

  • Each team will provide 1 Stroke and Turn Judge for each meet. They monitor proper starts, arm and leg motions, turns and wall touches and enter disqualification (DQ) information through Swimmingly. There is a short, online training that is required by our league in order to fill this role. The team will reimburse you for the cost of the training (< $30). Clerk of Course (experience recommended)

  • Using the heat sheet, the Clerk of Course lines the swimmers up by event, heat and lane on the benches. Works with the Assistant Clerk of Course, Coaches, and Bullpen Parent to move the swimmers from the bullpen all the way to the starting blocks for their races. For 10 and under relays they must make sure both ends of the relay teams are placed correctly, 1 & 3 at the starting blocks and 2 & 4 at the far end of the pool. The Clerk of Course will start lining up the swimmers for the first events before the meet starts.

Assistant Clerk of Course (no experience needed)

  • Assists the Clerk of Course and Bullpen Parent with lining up swimmers and moving them to the starting blocks.

Bullpen Parent (no experience needed)

  • The Bullpen Parent(s) assist the Clerk of Course by helping swimmers stay together in the Bullpen area, gathering them for their upcoming events, and making sure they report to the Clerk of Course (typically a series of benches near the starting blocks.) They will be provided with a heat sheet (a list of all swimmers, in all events, and the order in which they swim) to assist with this task.

Heat Ribbon Winner Distributor (no experience needed)

  • This person watches each race to determine who touches the wall first and gives that swimmer a heat winner ribbon. Individual events only; heat winner ribbons are NOT distributed for relay events.

Heat Treat Coordinator (no experience needed)

  • This person collects heat winner treat coupons, awarded after each heat, and provisions selected treat from concessions.

Meet Ribbon Labeler (no experience needed)

  • The Meet Ribbon Writer will receive a stack of labels and the stock of place ribbons at the end of the meet from the Meet Director. They are responsible for adhering the proper label to the proper place ribbon and organizing them by swimmer family for distribution. Once organized, they will be delivered to the Head Coach for distribution at practice. This job is needed for every meet, home and away and this person needs to be present at the end of the meet to receive the labels and the ribbons.

Concession Stand Assistant (no experience needed)

  • Works prior to and during the meet to set-up, sell and clean-up concessions.

Swimmingly Scorekeeper (experience preferred, training required)

  • Using the Team’s iPad and working with the Swimmingly Scorekeeper from the visiting team, the Swimmingly Scorekeeper tracks the times of each event and resolves any discrepancies. They are also responsible for “end of meet” tasks and should expect to stay for a little bit after the meet ends to complete these tasks.

Finish Judge (no experience needed)

  • Carefully watches each race and records the order of finish by lane number to assist with any timing discrepancies.

Meet Set Up Crew (no experience needed)

  • At home meets only, these volunteers will arrive early and assist with the physical setup of the meet. Examples of tasks include setting up the Starter’s table/PA system/Swimmingly WiFi, rearranging deck furniture, and other assorted tasks as needed. This job may include lifting moderately heavy items and is a good option for families with only young children who may not stay for the entire meet.

Parking Director (no experience needed)

  • The Parking Directors will ensure cars are appropriately parked before the meet and that all necessary emergency areas are accessible. This job is only available for home meets and begins before the meet starts.

Meet Director’s Assistant (no experience needed)

  • The Meet Director’s Assistant is responsible for general assistance as needed. This person will likely help with general day-of-meet tasks (volunteer check-in, meet setup, etc.) as they arise. In some certain situations, they may be asked to step in to fill other regular volunteer.
